About the EncounterPRO EHR
Who is EncounterPRO designed for?
Physicians. Nurses. Physician Assistants. Nurse Practioners. Technicians. The EncounterPRO EHR is for anyone who gathers patient data at the point-of-care and needs a highly usable, comprehensive, and complete electronic medical record that is configurable to both the practice and to each provider.
What sets EncounterPRO apart from its competitors?
EncounterPRO is unique from its architecture on up and is designed expressly for input at the point-of-care. Highly configurable and modular, it is not a "one-size-fits-all" product. EncounterPRO uses large icons, a navigational interface, and a unique Quick View screen.
What really sets us apart is our workflow management system (WfMS) -- the only one in the industry developed specifically for physicians' offices. Please see our white paper by Chuck Webster MD to understand the critical differences between workflow systems and workflow management systems. Click here
What percentage of the physicians in the practices you serve use EncounterPRO?
In 99% of the practices where EncounterPRO is installed, 100% of the physicians use the system to chart all of their encounters.
Does EncounterPRO use templates?
EncounterPRO uses dynamic short lists that the user compiles from comprehensive and rich knowledge bases. These short lists are almost instantly configurable.
What does EncounterPRO cost?
EncounterPRO's prices are competitive. Call our sales department for more information. (800) 677-5653
How does the computer in the exam room affect the patient-doctor relationship?
Our physicians report that computers in the exam room, contrary to what some analysts say, have not in any way--large or small--disrupted the patient-doctor relationship. The placement of the computer is, of course crucial. Our physicians put the computer where they can maintain eye-contact, except for the few seconds that it takes to chart the encounter. EncounterPRO also works on a lap-top and pen computer.
How are prescriptions generated automatically, since they have to be signed by a doctor?
Prescriptions are signed automatically with the use of an additional component, an electronic signature-capturing device which is also used for parent vaccine signatures.
Can satellite offices be on the same system?
Yes. EncounterPRO can replicate records and send those records from office to office over an ordinary phone line. Alternately, EncounterPRO can operate several geographically separate clinics on the same database, and use fast data lines and/or thin client technology to permit communications from each remote site to the server.
Can EncounterPRO print records?
Yes.
Do I need to worry that children may damage the client/monitor system installed In the exam rooms?
Not one of our doctors report this as a recurring problem. Most of our physicians have client computers in locked cabinets. Concerning the monitor, physicians have various ways of reinforcing the "Do Not Touch" restriction. One physician uses a colorful screensaver for the children to watch. Most physicians, however, post signs. For reassurance and other hints we invite you to talk to our doctors.
I have heard the term "paper-paradox." What does it mean and does it apply to EncounterPRO?
"Paper-paradox" refers to the assumption that physicians tend to include more data on electronic patient records than on paper charts and therefore the amount of printed paper increases. This term and its assumptions do not apply to EncounterPRO. First, structured data is more concise than narratives. Second, in less than two weeks after installation most of our physicians stop printing out encounters, period.
How many of your installation sites are paperless?
Most of them. A typical established practice "goes paperless" in four weeks or less. Our record is "paperless in three days." Call us for information about this and other paperless practices.

What platform does EncounterPRO use?
EncounterPRO utilizes a client-server platform embracing Windows® XP, Windows® 2000, Windows Server 2000,Windows Server 2003 and SQL Server 2000.
Why do you recommend using touchscreens in the exam room?
We recommend touchscreens because data entry is faster than with a mouse or pen. Seconds saved add up to minutes. Minutes saved add up to hours. It's that simple.
What is a workflow management system?
Workflow has a common sense definition: moving information to the right people in the right order, and providing the right tools for processing that information. EncounterPRO goes far beyond that. We give physicians tools to manage their own workflow. For a discussion of how we apply workflow to the physician's office, go to Workflow.
How does the system prevent update conflicts between different users?
A locking scheme allows only one user to update CPR records at a time. However, a global key generation algorithm allows multiple users to append data to the CPR simultaneously. For example, a technician may enter vital signs while at the same time a front office person may be scanning in a consultant's report.
How is data stored in EncounterPRO?
Data is stored in a normalized relational database using an open architecture relational database management system. The data is accessible to any tools that can communicate with Microsoft SQL Server or Open Database Compliant (ODBC).
Using EncounterPRO, how secure would my charts be?
More secure than in paper form. All patient data is stored on redundant disk arrays with daily off-site backup. The network itself is completely modular so that if any piece fails it can be quickly and easily replaced.
What happens if power fails or if the computer hardware crashes?
See the above answer.
How is security insured?
All access to the server is password protected. In addition, all access to patient data on the server is also password protected.
About Billing and Scheduling
Is EncounterPRO integrated with a billing and scheduling system?
Yes. EncounterPRO is seamlessly integrated with 25 leading billing/scheduling systems.
"Seamless integration" means that the scheduler posts the updated demographic information into EncounterPRO. With some integrations, the patient "arrives" in the EncounterPRO waiting room automatically from the scheduling system. When the encounter concludes, EncounterPRO posts the CPT and ICD codes from the encounter automatically to the billing application.
Other integrations are underway. Call our sales department for more information. 800-677-5653
About Installing and Training
How long does training require?
That depends on the number of providers--but two to five days of training is usually enough time to get everyone comfortable and using EncounterPRO before going live.
What if I've never used a computer before?
Do you have an index finger? If so, you can use EncounterPRO.
